MailFile — Terms of Service

Last updated: October 26, 2026

These terms apply when you use MailFile, an add-on for Gmail provided by AddonNordic ApS, Solvangen 15, 9210 Aalborg SØ, Denmark, CVR 46495985 ("we", [email protected]).

1. The service

MailFile saves emails from Gmail as PDF files, together with their attachments, in Google Drive folders you choose. It runs inside your Google account. You need a Google account and space in Google Drive.

2. Plans

  • Free: 25 saved emails per calendar month and up to 3 remembered client folders.
  • Pro: €6 per month or €60 per year. Unlimited emails, whole conversations in one PDF and every client folder remembered, for one person.
  • Team: €9 per person per month, minimum 3 people. Everything in Pro plus shared folders and folder rules.

Prices exclude VAT. Paid plans are sold through Stripe's Managed Payments (Link), which acts as the seller at checkout and charges and pays the right VAT for your country. The final price is shown before you pay, and your receipt comes from Stripe/Link. Current prices are shown in the add-on and at checkout.

3. Payment, renewal and cancellation

Paid plans are billed in advance by Stripe/Link, monthly or yearly, and renew automatically until you cancel. You can cancel at any time in MailFile under Plan & billing → Manage subscription. Your plan stays active until the end of the period you have paid for, and you move to Free after that. We do not refund periods already started, unless the law requires it. If a payment fails, Stripe retries it; if it still fails, your account moves to Free. Nothing you have saved is deleted.

4. Right of withdrawal (consumers in the EU)

If you buy as a consumer, you have 14 days to withdraw from your first purchase. By starting to use the paid features straight away, you ask us to begin the service within that period; if you withdraw, we refund the amount minus the part of the period you have used. Write to [email protected].

5. Your content

Everything MailFile saves belongs to you and stays in your Google Drive. You are responsible for having the right to store the emails you save, and for keeping your own records as your profession or the law requires. MailFile is a tool for filing, not an archive with a guaranteed retention period: if you delete a file or folder in Drive, it is gone from MailFile too.

6. Acceptable use

Do not use MailFile to break the law, to get around Google's terms, or to overload or attack our servers.

7. Availability and changes

We work to keep MailFile running, but we cannot promise it will always work without interruption, because it depends on Google and Stripe. If our licence server is down, paid plans keep working for at least 3 days from the last successful check. If we remove a paid feature, we tell you first, and you can cancel and get a refund for the unused part of a yearly plan.

8. Liability

MailFile is provided as it is. As far as the law allows, we are not liable for indirect losses, such as lost profits or lost data, and our total liability is limited to what you paid us in the 12 months before the claim. This does not limit liability that cannot be limited by law, including for consumers.

9. Ending the agreement

You can stop at any time by uninstalling MailFile and cancelling your plan. We can end your access if you break these terms; for paid plans we refund the unused part unless the breach is serious.

10. Law and disputes

Danish law applies. Disputes go to the Danish courts, unless you are a consumer with the right to use the courts of your own country. See also our MailFile Privacy Policy.
