Accessibility Checker for Docs & Slides is an add-on for Google Docs and Google Slides that finds and fixes accessibility issues and creates accessible PDF files. It is made by AddonNordic ApS, Solvangen 15, 9210 Aalborg SØ, Denmark, CVR 46495985 ("we"). This policy explains what the add-on can see and what happens to your data. For our website and our other products, see our main Privacy Policy.
The short version
- The add-on only reads the document or presentation you have open. It cannot see your other files or your Drive.
- Checking and one-click fixes happen inside Google. Nothing is sent to us.
- Only when you click Create accessible PDF, Report or Suggest with AI is content sent to our server in the EU. It is used for that one task and deleted right away. We do not store it.
- We do not sell data, show ads or use your content to train AI models.
What the add-on can access
When you install the add-on, Google asks you to allow these things:
- The document this add-on is installed in (
documents.currentonly), to check the open document and make the fixes you click. - The presentation this add-on is installed in (
presentations.currentonly), the same for Google Slides. - Show the side panel (
script.container.ui). - Connect to an external service (
script.external_request), to reach our own server for the accessible PDF, AI alt text and your licence. Google only lets the add-on contact the address listed in its settings. - Only the Drive files this add-on creates (
drive.file), to save the accessible PDF and the report in your Drive. It cannot see the rest of your Drive. - Your email address (
userinfo.email, openid), to check your Pro or organization licence and to note who made a fix in the document's fix log.
What is sent to our server, and when
- Check accessibility and every fix: nothing is sent. It runs in Google.
- Create accessible PDF: the document's text, images and structure. Our server (Railway, EU West, the Netherlands) builds the PDF, checks it with the veraPDF validator, returns it and deletes everything. The PDF is saved in your Drive.
- Report: the issue titles, where they are, and the fix log. Same as above.
- Suggest with AI / Recover the text: the one image you chose and a short line of nearby text, sent to OpenAI for a suggestion. You approve the text before it is saved.
Our server keeps no copy of documents, PDFs or images, and its logs contain no document content. To run the free plan, it counts how many PDFs and AI suggestions each email address has used this month.
Where data is stored
- The fix log and the markers for decorative images and table header rows are stored in the document itself, so the report can show what was fixed. They are deleted with the document.
- Your licence and your monthly fix count are cached in your Google account's private add-on storage.
- Our server stores your email address and the monthly counters only.
- Pro payments are handled by Stripe through Stripe's Managed Payments (Link), which sells Pro to you as the merchant of record and handles VAT. Stripe collects your email, payment details and billing address and sends you receipts. We receive your email, country, the plan you bought and its status, and never see card numbers. Stripe's privacy policy: stripe.com/privacy.
Google API Services User Data Policy
The use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use Google user data only to provide the features you see in the add-on. We do not transfer it to others, except as needed to provide those features (the AI suggestion you ask for), to comply with law, or as part of a merger or acquisition. We do not use it for advertising or to train AI models. No human reads it, unless you ask us for support and give permission, or the law requires it.
The use of raw or derived user data received from Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements. We do not use Google Workspace data to develop, improve or train generalized or non-personalized AI or machine-learning models. The AI suggestion is made with the OpenAI API, which does not train on data sent through it; we also send it with storage switched off.
How we protect your data
- All traffic between the add-on, our server, OpenAI and Stripe is encrypted (HTTPS/TLS).
- Our server only accepts requests with a valid Google sign-in token for the signed-in user.
- Document content is processed in memory and deleted when the request is done. It is never written to disk or to logs.
- Only AddonNordic's own staff can access the server and its settings. Secret keys are stored only on the server, never in the add-on.
How long we keep data
- Document content, images and PDFs: not kept. Deleted as soon as the request is done.
- Your email address and monthly counters: while you use the add-on. Write to [email protected] and we delete them within 30 days.
- Payment records: kept by Stripe for as long as accounting law requires.
Who we share data with
We do not sell Google user data, and we do not share, transfer or disclose it to anyone except the service providers below, and only to run the feature you asked for. We never share it with advertisers, data brokers or other third parties.
- Railway Corp. (hosting, EU West, the Netherlands): runs our server. When you click Create accessible PDF, Report or Suggest with AI, the content for that one task passes through it and is deleted right after. It also stores your email address and monthly counters for the free plan.
- OpenAI (AI alt text): only when you click Suggest with AI or Recover the text, it receives the one image you chose and a short line of nearby text, and returns a suggestion. It does not train on this data.
- Stripe (payments): only if you buy Pro. It receives your email address and payment details, never document content.
We disclose Google user data to others only if the law requires it, for example a court order, or as part of a merger or acquisition under the same protections.
Sub-processors
- Google LLC / Google Ireland: runs the add-on.
- Railway Corp.: hosts our server (PDF, AI requests, licence), EU West (the Netherlands).
- OpenAI Ireland Ltd. / OpenAI, L.L.C.: AI alt-text suggestions, only for images you choose. Sent with storage switched off and not used for training. OpenAI may keep requests for up to 30 days for abuse monitoring. USA, under the EU–US Data Privacy Framework and standard contractual clauses.
- Stripe (Stripe Payments Europe Ltd. and Link, Ireland): payments, receipts and VAT as seller of record for Pro.
Legal basis (GDPR)
We process your email address and the content you send to perform our contract with you (GDPR Art. 6(1)(b)). For personal data inside your documents you are the controller, and we process it on your behalf only to build the PDF or the suggestion you asked for. Organizations can sign a data processing agreement with us: write to [email protected].
Your rights
You can ask to see, correct or delete the data we hold about you, and you can complain to the Danish Data Protection Agency (Datatilsynet, datatilsynet.dk). Write to [email protected]. To remove the add-on: Extensions → Add-ons → Manage add-ons. To end Pro, use "Manage billing" in the side panel.
